SETTINGS & ADMINISTRATION Custom Objects Overview Custom Objects extend Lead Fuel CRM beyond standard contacts and deals by letting you create domain-specific data structures.
Build custom objects for properties, projects, accounts, or any business entity relevant to your workflow.
Each custom object can have unique fields, relationships to other objects, and automation capabilities.
Creating a Custom Object Define a new custom object type: Step 1: Navigate to Settings > Custom Objects > Create Object Step 2: Enter an object name (singular, e.g., "Property" not "Properties") Step 3: Add a plural label for the sidebar navigation ("Properties") Step 4: Add a description explaining the object's purpose Step 5: Choose an icon to represent the object throughout the system Step 6: Click "Create" to initialize the object Adding Custom Fields Configure data structure for your custom object: • Text Fields: Single-line and multi-line text input • Number Fields: Integers and decimals with optional currency formatting • Dropdown/Select: Predefined option lists for standardized data entry • Date Fields: Calendar pickers for date and datetime values • Checkbox: Boolean yes/no fields • File Upload: Attachment fields for documents and images • Relationship Fields: Link to contacts, deals, or other custom objects • Calculated Fields: Auto-computed values based on other field formulas Field Configuration Step 1: Click "Add Field" within your custom object Step 2: Select the field type from available options Step 3: Enter the field name and display label Step 4: Set whether the field is required or optional Step 5: Configure field-specific options (e.g., dropdown values, number format) Step 6: Click "Save Field" to add it to your object Object Relationships Connect custom objects to other data: • One-to-Many: One custom object record links to multiple records in another object • Many-to-Many: Custom objects can relate to multiple records in either direction • Contact Links: Associate custom objects with contacts in your system • Deal Integration: Link custom objects to specific deals or pipeline stages Tip: Example: Create a "Property" custom object with one-to-many relationship to contacts (one property can have multiple interested buyers).
Using Custom Objects in Workflows Leverage custom objects in automations and workflows: • Trigger automations when custom object records are created or updated • Use custom object data in email templates and communications • Create tasks and activities linked to custom objects • Generate reports and dashboards using custom object data • Set up conditional logic based on custom object field values Custom Object Views & Lists Display and manage your custom objects: Step 1: Click your custom object name in the left sidebar Step 2: View all records in the default table list view Step 3: Create custom views with filters (e.g., "Show Properties Worth Over $1M") Step 4: Switch between List, Board, Calendar, and Map views Step 5: Export custom object data to CSV for external analysis Permissions & Access Control Control who can view and edit custom objects: • Set default visibility (all users, specific roles, or record owners only) • Create field-level permissions (some fields read-only for certain roles) • Restrict custom object creation to administrators only • Audit all changes to custom object data through activity logs Tip: Start with essential fields only.
Add additional fields later as your team identifies needs.
Complex objects with too many fields become difficult for users to navigate.
